  怎么才能寫出有腔調(diào)的商務英語郵件

  如果你接觸過的商務郵件夠多的話,你會發(fā)現(xiàn):商務英語郵件中的語言和大家平時說的、聽的地道的口語表達沒有太大差別。商務英語郵件在“腔調(diào)”上雖然有“正式”和“非正式”的區(qū)別,但是它們都必須是“自然的(natural)” :

  商務英語郵件中的語言雖然是written English, 但它們在“腔調(diào)”上應該和spoken English相似。

  很多學生在剛剛開始學習商務英語郵件寫作的時候,經(jīng)常會因為過度追求“專業(yè)化”和“職業(yè)化”而使寫出來的句子特別拗口、晦澀。比如下面這個例子:

  As per your request, please find enclosed herewith acheck in the amount of $ 47.95.

  這個句子中使用了如“as per”和“herewith”這樣的看起來很專業(yè)但是卻沒有太多實際意義的詞。這些詞的使用導致整個句子理解起來很費勁。其實這個學生犯了我們很多學生都會犯的錯誤:試圖通過使用一些big words來提升自己的專業(yè)度。但是這樣的做法往往適得其反。我們來看下這個句子可以怎么改使其看起來更natural 一些:

  As you requested, I’m enclosing a check for $ 47.95.

  怎么樣,修改后的句子是不是看起來更清爽,更容易理解呢?的確,這句話的“腔調(diào)”要更加natural一些。首先,這個句子中也因為用到了“you”“I”這樣的詞而使它更有親和力,而不是那么冷冰冰。其次,從專業(yè)的角度來看,修改后的句子簡明扼要,既節(jié)約了寫信人的寫作時間,又節(jié)約了收信人的閱讀時間,這種“減法”恰恰體現(xiàn)了的商務溝通對專業(yè)度的要求。

  大家再來看兩封郵件,這兩封郵件都是在闡述同一個問題。相信大家讀完這兩封郵件后,會對郵件的“腔調(diào)”有一個更加直觀的認識。

  ——例1——

  Dear Mr.Pendleton:

  With reference to your order for a Nashito Camcorder, we are in receipt of your check and are returning same.

  I beg to inform you that, as a manufacturer, our company sells camcorders to dealers only. In compliance with our wholesale agreement, we deem it best to refrain from direct business with private consumers.

  For your information, there are many retailers in your vicinity who carry Nashito Camcorders. Attached please find a list of said dealers.

  ——例2——

  Dear Mr.Pendleton:

  怎么樣,乍一看,很難看出兩封郵件寫的是一件事情吧?例2的段就把主旨意思點明了:我們已經(jīng)收到了你的訂單,但是很遺憾,我們不得不退還你的支票。而例1繞來繞去繞到最后才知道原來是要拒絕訂單。

  綜上所述,商務英語郵件的“腔調(diào)”其實沒有那么復雜,表達自然、言簡意賅就可以寫出一個漂亮的郵件。


  商務英語郵件格式

  01

  開頭 Greetings

  Dear XXX

  Hello XXX

  Hi XXX

  XXX可以是對方的名字,也可以是類似 Madam/Sir 這樣的稱謂。

  02

  正文

  步:Introduction

  在正文中,件要做的事就是向對方表明自己的身份,并簡單的向對方問好。

  比如:My name is XX XX.

  注意,寫英文郵件時,名在前,姓在后的。即:First name Last name.

  如:

  My name is Hong Li. I am the account manager of XXX company.我的名字叫李紅,我是XXX公司的客戶經(jīng)理。

  問好這一步有些朋友往往忽略了,其實加上這么一小句話可以讓一封商務郵件多一點“溫度”。符合商務郵件“友好而專業(yè)”的調(diào)性。

  比如使用常用的問好語:

  I hope you have a wonderful day.

  或者:

  I hope you are well.

  第二步:Purpose

  第二步我們需要說明自己發(fā)這份郵件的目的為何。即:

  I am writing to XXXX.

  I would like to XXXX.

  I suggest XXXX.

  并盡量在此處以盡量簡明的語言將想要表達的事件闡述完整。

  如果郵件中添加了需要對方查看的附件,那么就需要加上“請見附件...”,即:

  Please find attached XXX.

  XXX就是添加的附件內(nèi)容,如:

  the evaluation report 評估報告

  meeting notes 會議記錄

  第三步:Call to action

  第三步,我們要明示我們希望或需要對方做的事情。

  如:

  Please let me know if the time is convenient for you.

  What do you think about XXXX?

  第四步:Ending

  表示感謝,期望收到對方的回信,有問題可以再聯(lián)系我等等。

  如:

  I look forward to hearing from you.

  If you have any questions please let me know.

  Thank you for your understanding.

  可以使用較常用的落款,如 :

  或

  Warm wishes

  注意落款要獨占一行。在落款之后,空一行,然后再寫上自己的名字。
